What we do

We assess your operations, build the systems, and keep them running.

We assess how your firm runs today and what is holding it back, we show you the ways it could be fixed and build the one you pick, and then we stay on to maintain it and keep building as you grow.

How the work is done

We measure your operations with the people who run them.

Every engagement starts in working sessions with the staff who run the process day to day, rather than a questionnaire sent to the principal.

Operations Assessment

Fixed scope and fixed fee · Two to four weeks

We learn how your firm works, measure it, and find what is actually holding it back.

We watch the work as it actually happens and write down the current state, which means what each process is, how often it runs, who owns it, and what it costs your firm when it fails. Out of that we can say where the hours are going and which constraint is the one worth removing first. Every gap and every risk goes into the report, and the roadmap is scored for effort and impact so you can see what should be done first and why. Nothing is designed before this is finished, and a recommendation produced without watching the work is a guess.

What this line covers

  • Every system in use, and which record each one owns
  • Each recurring process end to end, with the person who really owns it
  • A baseline for the work that matters, taken from your own systems
  • A roadmap scored for effort and impact, with compliance and staffing flagged

You hold: Current-state documentation, a scored roadmap, and a measured baseline

Build

Fixed scope and fixed fee · Six to sixteen weeks

You choose the approach, then we build it, document it, and train your staff on it.

A build opens with the design put in front of you as options rather than as a decision already made. For each route you see what it costs, what it changes for your staff, how long it takes, and where it is weak, and we say which one we would take and why. Once you have chosen, we implement the CRM workflows, build the document architecture and taxonomy, write the SOP library so it lives where the work happens, connect the systems that were not talking to each other, and move the repeat work your staff are doing by hand onto software that does it. We wire in only what the design needs and we do it on the platforms you already run. Your staff are trained as each piece lands, and the handoff package is written while the work is being done. A system only we can operate is a system that has failed, and that is the test we build against.

What this line covers

  • Design options presented with the cost, the trade-offs, and our recommendation
  • CRM workflow design and implementation
  • Document architecture, taxonomy, and retention applied
  • Integration and automation between the systems you already license
  • An SOP library and training material written where the work happens
  • Staff training and full documentation of how each new process runs

You hold: Working systems, an SOP library, trained staff, and full written documentation

Managed Operations

Monthly retainer, twelve month minimum · Ongoing

We keep what we built running, and we handle the changes, connections, and buildouts that come after.

Vendors ship updates that break integrations, firms add advisors and service lines, and systems drift out of the shape they were built in. Maintenance covers the troubleshooting, the changes, the additional connections, and the smaller buildouts that come up as your firm changes. It also keeps us close enough to be useful on short notice, so when you want to extend a process, stand up a new part of the business, or work out whether something is worth automating at all, you are asking somebody who already knows how your systems fit together. Every quarter we review what is running against the baselines measured in the assessment, so what you are paying for is reported in your own numbers.

What this line covers

  • Troubleshooting and repair, including automations broken by a vendor update
  • Changes, additional connections, and supplemental implementations as things move
  • New buildouts as the firm adds people, services, or platforms
  • Operational questions answered as they come up, without a new engagement
  • Documentation, SOPs, and training kept current as processes change
  • A quarterly review against the baseline set in the assessment

You hold: Systems that stay current, and operations support on call as the firm changes

Engagements

The assessment is fixed in scope and fee. The build is scoped and quoted from what the assessment finds, before any of it starts, and anything raised afterwards that falls outside that scope is quoted as a fixed price before it is done.

Afterwards

Managed operations is a monthly retainer with a twelve month minimum, agreed at handover.
